As the Fall 2019 semester comes to a close, here is the information you need to know as a residential student on Pace’s NYC and PLV campuses. Read on for info about check-out, hall closure, spring move-in, and more!

The semester is winding down and finals are almost upon us. As you get ready to go home (or stay!) for winter break, here are a few things you need to know about leaving Pace’s residence halls. Each campus has different closure procedures, so be sure to read your section carefully.

Leaving the Residence Halls Permanently

Students leaving the residence halls during the semester or at the end of the fall semester must complete a Housing Cancellation form through MyHousing, located in the "student" tab of the Pace Portal. Notifying the Office of Student Assistance or Financial Aid that you no longer plan to enroll, or to be a resident student, is NOT sufficient to cancel housing.


New York City Campus

Closing for Winter Break

Pace’s NYC residence halls close for winter break on Saturday, December 21, at 12:00 p.m. Students must check-out within 24-hours of their last final exam and all students must be out of the residence halls no later than December 21. Students wishing to stay longer MUST either be registered for winter break housing, or have made previous arrangements with their Community Coordinator.

Applying for Winter Housing

Students may apply for winter housing through MyHousing, located in the "student" tab of their Pace Portal. The deadline for applying for Winter Housing is Wednesday, December 11, 2019. Students wishing to remain on campus for any portion of winter break, for any reason, are required to apply for winter break housing. All students remaining for winter break will be billed $1,000 (to their Winter 2017/18 term account) to cover the cost of break housing. Students staying on campus for any portion of the winter break must pay for the entire winter break. There are no partial charges for winter break housing. Winter break housing fees will be applied to your account AFTER December11. Please be sure to read the Winter Housing application carefully for complete details about winter housing.

Check-Out Procedures

Students leaving an assigned space for any reason (room change, transfer, consolidation, contract termination, or end of year/session) must complete the checkout procedure for their building. Any portion of the check-out procedure not completed will result in a charge/fine. Check-out procedures for each residence hall are set by each Community Coordinator and communicated to residents by email, through posted information on floor bulletin boards, and through required end-of-semester floor meetings. There are two ways to check out of housing:

Traditional Check-Out Procedures

  • >> Attending final floor meeting (if checking out at the end of the semester)
  • >> Making an appointment with the resident’s RA at least 24 hours before departure to check-out and sign the Room Condition Report (RCR) which indicates any new damages the student may be charged for.
  • >> Students must return any room (suite) keys issued to the RA, and mailbox keys in Maria’s Tower must be returned to directly to Auxiliary Services, in order to avoid a charge/fine
  • >> Signing and retain a copy of the checkout RCR

Express Check-Out Procedures

This process allows the student to submit their room key and/or resident ID to a lock box using a special check-out envelope and form. This process calls for the condition of the student’s room will be reviewed and evaluated by the housing staff after their departure. Students choosing to utilize the express check out process waive their right to appeal damage and administrative fees associated with their room condition or check out process.

Opening for Spring 2020

Pace’s NYC residence halls reopen for the Spring 2020 semester on Sunday, January 26, 2020, at 10:00 a.m. For students new to on-campus housing, the residence halls will open on Saturday, January 25, 2020, at 10:00 a.m.


Pleasantville Campus

Closing for Winter Break

Pace’s Pleasantville residence halls close for winter break on Saturday, December 21, at 10:00 a.m. All residents will need to leave by this time. Those residents that are not returning to housing for the spring term must be checked out by this time. If there are any concerns, residents must talk to the Residence Director of their building.

Applying for Winter Housing

The Pleasantville Campus provides Winter Session Housing only in Alumni Hall, Martin Hall, or the Townhouses. If you are interested in Winter Housing, email westchesterhousing@pace.edu with why you need to stay on campus during the Winter Session. This needs to be completed by December 11, 2019, at 12:00 p.m. Any requests received after this day will be denied. The charge to stay on campus for Winter Housing is $1,000. This is a flat rate, there is no per day rate. Winter Housing dates are December 30, 2019, to January 25, 2020. The Pleasantville Campus is closed from December 21, 2019, at 10:00 a.m. to December 30, 2019, at 10:00 a.m. Winter sports athletes will receive information from their coaches about Winter Housing and will not need to email us.

Traditional Check-Out Procedures

  • >> You can make an appointment with your RA to check out. Please be prompt for this meeting time and meet your RA in the designated location in your community.
  • >> Your room, suite and/or house must be clean and appear as it was when you checked-in. This includes
    • >> Closing and locking all windows
    • >> Throwing out all garbage
    • >> Removing all personal items from the room—any items left behind will be discarded
    • >> Defrost and clean any rental micro-fridge units 24 hours prior to check-out

Express Check-Out Procedures

  • >> Fill out the Express Check-Out Envelope which can be picked up from the RA Office.
  • >> Agree to the following:
    • >> I am voluntarily participating in the Express Check-Out instead of checking out in-person with a Residential Life and Housing staff member;
    • >> I will follow all instructions for checking out of the residence halls as stated by the Office of Residential Life and Housing;
    • >> Residential Life and Housing staff will conduct an inspection of my room/suite/ house after the halls have closed and assess damage;
    • >> I acknowledge that I am responsible for ANY damages or cleaning charges that are found during the inspection and understand that I may be billed for the damages;
    • >> Even if I have misplaced my key, I will still need to sign and hand-in an express check-out envelope;
    • >> I acknowledge that if I do not complete this form or check out with a Residential Life and Housing staff member, I will be charged $75 for an Improper Check-Out.
    • >> I will drop off the Express Check-Out envelope in the designated drop boxes upon leaving the community and leaving the key in the envelope.

Opening for Spring 2020

Pace’s Pleasantville residence halls reopen for the Spring 2020 semester on Sunday, January 26, 2020, at 10:00 a.m.
